The problem

Coffee is the perfect repeat product. Most roasters email like it isn't.

Your customers run out of coffee every few weeks. That's a buying moment, every time. Most stores let it pass.

One-off buyers drift away

They loved the bag, then bought their next one at the supermarket because nobody reminded them.

Subscribers churn quietly

Skips, pauses and cancels happen with no save, no swap and no win-back.

Discounts train customers to wait

Code-led campaigns bring a spike, then teach your regulars never to pay full price.

What we build

Email built around how people actually drink coffee

One-off to subscriber

A path that turns happy one-off buyers into subscribers at the moment they're most likely to say yes, starting with a welcome series that does more than deliver a code.

Subscription saves

Recharge flows for skips, pauses and cancels: a smaller box, a swap or a pause before a subscriber leaves, and a follow-up based on why they cancelled. What we've learned about coffee subscriptions.

Launches and limited releases

New origins, roast dates and small-batch drops sent to the customers most likely to buy them.

Gifting season

Christmas, Father's Day and gift subscriptions, with delivery deadlines that drive the last-minute orders. The Christmas playbook for roasters.

Loyalty and win-back

Points, rewards, birthdays and win-back flows that bring lapsed coffee drinkers back without leaning on discounts.

Roasters and subscriptions

Email marketing for coffee roasters vs coffee subscription brands

The same playbook doesn't fit both. Most roasters sell one-off bags, with a subscription as a retention tool on top. Pure subscription brands live or die on the first box and the churn rate.

Roasters selling one-off bags

The job is getting the second and third order. That means a welcome series that sells the right first bag, replenishment emails timed to bag size, and a subscription offered once the customer already likes your coffee. Launches, limited lots and seasonal gifting carry the campaign calendar.

Coffee subscription brands

The job is getting subscribers past box three. That means a first-box offer that doesn't attract one-month customers, onboarding that sets expectations, failed-payment recovery, a cancellation flow split by reason, and an anti-churn offer used once. Recharge handles the billing notices; Omnisend runs the branded journeys.

Is this right for you?

A good fit if your coffee brand…

Sells meaningfully online

Direct-to-consumer is a real part of the business, not a side channel next to cafés and wholesale.

Has a subscription, or wants one

Subscriptions are where lifecycle email earns the most, from first box to renewal.

Treats email as a channel

You want a system that earns every month, not a few emails when there's time.

The coffee email calendar

A year of email for a coffee brand

Automations handle the reorders. These are the moments in the year worth a campaign, none of which need a sitewide discount.

January: new routines

People reset their habits in the new year. A good moment to move one-off buyers onto a subscription.

New harvests and origins

Launch new lots and limited roasts to your regulars first, with an early-access window before the wider list.

29 September and 1 October

National Coffee Day in the US and International Coffee Day give you a reason to email that isn't money off.

Black Friday and Cyber Monday

Pick an offer your margin can carry, start before the weekend, and lead with prepaid plans and gift subscriptions. Six Black Friday strategies for roasters.

Christmas gifting

Gifts by budget point, clear last-order dates for delivery before Christmas, and gift cards after the cut-off. Christmas for coffee roasters.

After the holidays

Turn people who received a gift into customers of their own, and keep gift orders out of your replenishment flow. Gift orders and replenishment.

Questions

Coffee email questions

When should a coffee replenishment email go out?

Just before the coffee runs out, based on each customer's bag size and their own reorder gap, not one fixed schedule for everyone. As a starting point, send it about 80% of the way through the bag: roughly day 7–13 for a 250g bag, depending on how much they drink. Then adjust it with your own reorder data. Timing by bag size and the snooze option are in replenishment emails for coffee roasters.

How do you reduce coffee subscription churn?

Start by finding out why people cancel: turn on the cancellation reason in your subscription app. Around a fifth to a quarter of the cancellations we see are life changes no email will fix. For the rest, offer a smaller box or a longer interval to people with too much coffee, a price lock to price-sensitive subscribers (once only), and a different coffee to those who didn't like theirs. More in coffee subscription emails.

Will you need to discount to get results?

No. In our coffee case study, automations earned £110k+ in nine months without discount codes, led by the replenishment flow. Good timing beats money off. Where an offer does make sense, such as a first subscription box, a simple percentage or a gift with the first box usually works better than a big fixed discount.

Should coffee brands discount on Black Friday?

Not by default. Gift subscriptions, bundles, prepaid plans and early access give people a reason to buy without training them to wait for a sale. If you do run an offer, pick one strategy and keep it simple. We compare six of them in Black Friday for coffee roasters.

Which email platform is best for a coffee subscription brand?

For most roasters, Omnisend: it's priced for e-commerce and includes replenishment, win-back flows and detailed segmentation on every plan, and it connects to Recharge for subscription events. Klaviyo suits larger brands with bigger teams, and Mailchimp works for newsletters but limits automations on its lower plans. The full comparison is in Omnisend vs Klaviyo.

Do you only work with Omnisend?

Omnisend is our first choice and we're an official partner, but we also work in Klaviyo, which many US coffee brands use.

Do you work with US coffee brands?

Yes. We work with brands in the UK and the US, with copy and timing set up for each market.

Can my team run it after you build it?

Yes. We build systems your team can run in-house, and we're here if you want help with campaigns or peak season.

What emails should a coffee subscription business send?

At minimum: a welcome series that sells the first box, a first-box onboarding flow, a pre-renewal reminder, failed-payment recovery, a cancellation flow split by reason, and a win-back for lapsed subscribers. Tag first and second orders so you can see who reaches box two and three. Our full breakdown is in the coffee subscription emails guide.

What should a coffee roaster's welcome series include?

Three emails at minimum, four if you run a loyalty programme: a first impression with your entry-point coffees and real reviews, a who-we-are email with faces, a loyalty email, and a closing email with urgency on the offer or proof from your regulars if you don't discount. Branch by taste (espresso vs filter) where you can. See the welcome emails guide for timing and the Omnisend build.
